Privacy Policy
TrueBuddyAI is a Sagentica product. This Privacy Policy explains how we collect, use, share, and protect personal information when you use truebuddyai.com (the "Site") and the TrueBuddyAI voice companion service (the "Service"). We wrote it to be read plainly, because the people we serve and their families deserve that.
1. Who this covers
Two people usually matter here: the account holder (often an adult family member who sets up and pays for the Service) and the companion user (typically an older adult who talks with TrueBuddy). This policy applies to the personal information of both.
2. Information we collect
2.1 Information you give us
- Account details — name, email, phone number, and the companion user's first name and general details needed to personalize the Service.
- Payment information, processed by our payment provider (Stripe). We do not store full card numbers.
- Family and emergency contacts, reminder schedules, and notes you choose to send through the family bridge.
2.2 Information from the companion service
- Voice audio and transcripts of conversations between the companion user and TrueBuddy.
- Things mentioned during conversations that the Service is designed to notice — mood, sleep, pain, mobility, and medication references.
- Service activity — reminders delivered and confirmed, check-ins completed, and emergency events.
2.3 Information collected automatically (Site)
- Browser type, a truncated or hashed IP address, country, page URL, referrer, and an anonymized session identifier.
3. How we use information
- To provide the Service — conversation, reminders, the family bridge, and wellness summaries.
- To detect and respond to emergencies the companion user signals.
- To process payments, prevent fraud, and keep accounts secure.
- To comply with legal obligations.
- To improve our voice models — only with explicit opt-in. Opt-out is the default; we do not train on your conversations unless you choose to allow it.
4. What family and care teams see
By design, family members and care teams see summaries and trends — not raw transcripts. We surface what genuinely needs attention, not every word. The companion user's day is theirs; the Service is a companion, not surveillance.
5. Emergency situations
When the companion user signals an emergency, we may share voice audio, approximate location, and contact details with emergency services and designated family or care contacts, so that help can reach them. We do this to protect a person's vital interests, and only to the extent needed.
6. Health-related information
The Service notices health-related references (mood, sleep, pain, mobility, medication) to build the wellness summaries. On Wellness+ and care-team deployments where TrueBuddyAI handles Protected Health Information on behalf of a HIPAA Covered Entity, that information is also governed by our Business Associate Agreement.
7. Sharing and subprocessors
We share information with carefully vetted service providers under data-protection agreements — including telephony, speech-to-text, AI model, text-to-speech, payment, and hosting providers — strictly to operate the Service. We do not sell or share personal information for cross-context behavioral advertising, and we never have.
8. International transfers
Our infrastructure is located in Canada and the United States. Where information is transferred internationally, we rely on Standard Contractual Clauses or other lawful transfer mechanisms.
9. Retention
- Account data — while the account is active, then up to 7 years for legal and tax purposes.
- Voice recordings and transcripts — 30 days by default, configurable by the account holder.
- Wellness summaries — retained while the account is active so trends remain meaningful.
- Site analytics — up to 24 months.
10. Security
We protect information with encryption in transit (TLS) and at rest (AES-256), role-based access controls, key rotation, and audit logging. No system is perfectly secure, but we treat this data with the seriousness it deserves.
11. Consent and the companion user
We ask that the companion user is informed about the Service and consents to using it. Setup is family-controlled, but TrueBuddy is for the person who talks with it — not something done to them.
12. Your rights
Depending on where you live, you may have rights under the GDPR, the CCPA/CPRA, and similar laws — including access, correction, deletion, restriction, portability, objection, and the right to opt out of any sale or sharing (we do neither). To exercise any right, contact privacy@truebuddyai.com. We will not discriminate against you for exercising your rights.
13. Children
The Service is designed for older adults and is not directed to anyone under 18. We do not knowingly collect personal information from children.
14. Changes to this policy
If we update this policy, we will revise the "Last updated" date above and, for material changes, provide additional notice.
